OTH Mattermost is a business messenger app that is powered by Mattermost, which is designed to provide secure communication for your business needs. We are committed to protecting your privacy and want you to feel comfortable using our app. This Privacy Policy explains what information we collect, how we use it, and how we protect it.
Data Collection and Usage: If you use the "Mattermost" service provided by OTH/RCHST/RCBE for chat communication, we process and store the following data from you:
Purposes of data processing: The processing of your personal data serves the purpose of providing you with "Mattermost" as a tool for conducting chat communication in the context of studies, teaching, research, and administration The collection of data does not entail any risk to the rights and freedoms of natural persons
Personal Information: When you sign up for OTH Mattermost, we collect your name, account name, email address, profile picture (optional), and other information you provide during registration. We may also collect your phone number and other contact information, if you choose to provide it.
Messages and Content: We collect and store the messages, files, and other content you send and receive through OTH Mattermost, as well as your user activity within the app.
Usage Information: We collect information about how you use OTH Mattermost, such as your IP address, browser type, device type, and other usage statistics.
Cookies and Similar Technologies: We use cookies and similar technologies to collect information about your usage of OTH Mattermost, to help personalize your experience, and to provide analytics.
Information Sharing: The Mattermost service uses push notifications to forward chat messages to mobile devices. In doing so, these notifications are sent via notification servers of the respective service provider and could be viewed by them due to system reasons. Involved providers are 'Apple Inc.' (via APNS) and 'Google LLC' (via FCM). Personal data that may be visible in these notifications are the user ID (account name) and the display name (first and last name). We will never sell your information to third parties for marketing purposes.
Data Security: We take the security of your data very seriously and have implemented various measures to protect it. We use industry-standard encryption to protect your personal information and messages in transit and at rest. We also use secure servers and regularly monitor our systems for potential vulnerabilities.
Duration of personal data storage: Messages are stored for six months by default. If a participant wishes to have their data removed from the chat system upon leaving OTH/RCHST/RCBE, this is possible. When a member leaves OTH/RCHST/RCBE, the Mattermost account is only deactivated by default and personal data is only partially removed. The account name, display name, and associated chat messages are retained. Only after six months, or when none of the participant's chat messages can be accessed by other communication partners, meaning that deleting them does not destroy any active communication threads, will the account and associated data be removed from the system.
Updates to Privacy Policy: We may update this Privacy Policy from time to time. If we make any material changes to this policy, we will notify you by email or through the OTH Mattermost app.
